This privacy policy explains how Fightcard.live collects and uses personal data when you use our website and web application. Fightcard.live is operated by Globetrotters Sports ApS, Damhusvej 6, 3000 Helsingør, Denmark, CVR 45285103.

We act as the data controller for your account and profile data. When we process medical and ID documents on behalf of event promoters, we act as their data processor.

What information do we collect?

We collect the following types of personal data:

Account data

When you create an account, we collect your name, email address, password, and role (fighter, promoter, staff, etc.).

Fighter profile data

If you register as a fighter, we collect and store:

  • Name and date of birth
  • Nationality
  • Club affiliation
  • Weight class
  • Fight record and statistics
  • Profile photo
  • Other information you choose to provide in your profile

Event and promoter data

If you are a promoter or event organizer, we collect your name, organization details, and login credentials to manage your events.

Technical data

We automatically collect technical information including your IP address, device type, browser information, and usage logs when you access our service.

Payment data

Payment processing is handled by third-party processors (Stripe and Paddle). We do not store your full payment card details. We only receive confirmation of successful transactions and basic billing information necessary to provide the service.

Medical and identity documents

When required by a promoter or federation, fighters can upload medical and identity documents such as blood test results, medical certificates, injury clearances, and ID or passport scans. These documents may contain health information and are considered special category data under GDPR.

These files are uploaded directly to a secure storage location in the EU. They are only accessible to the relevant promoter and authorised staff for the purpose of verifying whether you are eligible to compete. Files are deleted automatically after review or after a short timeout if they are not reviewed. We only keep a record of the status (for example approved or rejected), the document type, and the dates of upload, approval, and expiry. We do not keep copies of the documents themselves after review.

Note: We do process limited special category data in the form of medical and identity documents for fighters, strictly for the purpose of competition clearance, with very short retention and automatic deletion, as described in this policy.

How do we use your information?

We use your personal data to:

  • Create and manage your account
  • Provide access to the Fightcard.live platform and services
  • Manage event registrations and fighter applications
  • Process medical and ID document reviews for competition clearance
  • Communicate with you about your account, events, and service updates
  • Improve our services and user experience

Contract

We process your data to create and run user accounts, manage events, process registrations, and provide the services you have requested.

Legitimate interests

We process data for security purposes, service improvement, prevention of abuse, and limited analytics to understand how the platform is used.

Consent

We rely on consent for marketing emails (where applicable) and for processing medical and ID documents where required by promoters or federations.

Legal obligations

We process data to comply with tax and accounting laws, regulatory demands, or legal claims.

Vital interests

If ever needed to protect someone from serious harm, we may process data on the basis of vital interests.

Where we store your data

Our main application database and web server are currently hosted in the United States. This means that some of your personal data, such as your account and fighter profile information, is stored outside the European Union. We use hosting providers that offer appropriate safeguards for international transfers, such as participation in the EU US Data Privacy Framework or Standard Contractual Clauses.

Medical and identity documents are stored only in an encrypted object storage service located in the EU region. These files are kept for a short time while awaiting review and are deleted after review or after a short timeout. Only minimal status information remains in our database after deletion.

Data retention and deletion

Account and fighter profile data

We keep your account and fighter profile data for as long as you maintain an account with us or as long as necessary to provide the Services. If your account is inactive for an extended period we may delete or anonymise your data in line with our retention rules.

Fighters can request deletion of their account and associated data at any time by contacting us.

Medical and identity documents

Medical and identity documents are kept for as short a time as possible. Files are removed after the relevant promoter has reviewed them or after a short maximum retention period if they are not reviewed. We keep only minimal status information (for example that a document was approved on a certain date and when it expires) to operate the clearance system.

Who we share data with

We share your personal data with the following categories of service providers:

  • Payment processors: Stripe and Paddle process payments on our behalf
  • Cloud infrastructure: Cloudflare provides content delivery and security services
  • Email services: We use email service providers to send transactional and service-related emails
  • Hosting providers: Our application and database are hosted by providers in the United States with appropriate safeguards

We do not sell your personal data to third parties. We only share data with service providers who are contractually bound to protect your data and use it solely for the purposes we specify.

When you participate in an event, the relevant promoter or federation will have access to your fighter profile data and any medical/ID document status information necessary to manage that event.

Your data protection rights

Under GDPR, you have the following rights:

  • Right of access: You can request a copy of the personal data we hold about you
  • Right to rectification: You can ask us to correct inaccurate or incomplete data
  • Right to deletion: You can request that we delete your personal data in certain circumstances

Roles of promoters and fighters

Promoters and federations that use Fightcard.live to manage events are responsible for deciding which documents they require from fighters and for the legal basis on which they request those documents. In relation to medical and ID documents and clearance decisions, we process data on their behalf as a data processor.

We are the data controller for platform account data and fighter profiles. Promoters are data controllers for participants in their events.

Children and minors

Some fighters using Fightcard.live may be minors. Accounts for minors should be created or approved by a parent, legal guardian, or club representative. Parental consent is required in line with local laws where applicable.

If you are a parent or guardian and believe your child has provided us with personal data without your consent, please contact us immediately.
